Reporting to the Director of Finance, the Payroll and Benefits Coordinator is responsible for the accurate and timely processing of payroll for all staff and youth program participants at Youth Opportunities Unlimited (YOU), including biweekly and weekly payrolls. This position also oversees the administration of the benefits and Group Registered Savings Plan (GRSP) as well as supports the Finance team with other general accounting duties.

The Payroll and Benefits Coordinator ensures compliance with legislative and organizational policies, coordinates with HR and Finance to maintain employee records, and provides excellent service regarding payroll, benefits, and GRSP inquiries. Responsibilities:

  • Prepare weekly and biweekly payroll files for youth participant and YOU staff payroll processing
  • Maintain and update employee records in payroll system
  • Review and ensure proper application of time away from work policies and balances are being administered through payroll software
  • Support the onboarding and offboarding activities as they relate to payroll
  • Prepare and submit Records of Employment for terminated employees
  • Ensure accurate remittances and reporting for payroll deductions
  • Respond to employee payroll-related inquiries
  • Prepare and process annual T4s for employees
  • Prepare annual reconciliations for EHT and WSIB reporting
  • Prepare reports for budgeting, funders, and year-end audit purposes
  • Respond to all payroll-related inquiries from government agencies (CPP, EI, EHT, WSIB, ROE, etc.)
  • Oversee and administer the Group Registered Savings Plan (GRSP), including enrollments, changes, and terminations
  • Coordinate GRSP remittances and ensure alignment with payroll cycles
  • Act as liaison with GRSP provider and respond to staff inquiries
  • Ensure proper deductions for employee and employer GRSP contributions are being applied through the payroll system
  • Oversee and administer the Benefits Plan, including enrollments, changes and terminations
  • Reconcile the benefits invoice monthly
  • Ensure proper deductions for employee-paid benefits are being applied through the payroll system
  • Continuously improve the use of systems to maximize efficiency and minimize the risk of error
  • Support journal entries, reconciliations, and financial reporting across the accounting and finance department
  • Assist with budgeting and audit preparation
  • Document payroll, GRSP, and benefits processes
  • Cross-train in other accounting areas to provide backup as needed

Qualifications:

The Payroll and Benefits Coordinator must be highly detail-oriented with strong analytical, communication, and organizational skills. Confidentiality and accuracy are essential, particularly in managing sensitive payroll and savings plan data. The incumbent must demonstrate friendliness, creativity, and flexibility in dealing with the public, youth participants and YOU staff.

Specific skills and requirements include:

  • Diploma or Degree in Accounting, Payroll, or Business Administration preferred
  • PCP (Payroll Compliance Practitioner) certification an asset
  • Minimum 2 years of payroll experience required
  • Experience with ADP Workforce Now or equivalent payroll system
  • Experience administering GRSP or similar savings/benefits plans an asset
  • Familiarity with payroll legislation and government remittance requirements
  • Experience with benefits programs administration
  • ERP experience (e.g. NetSuite) considered an asset
  • Intermediate Excel skills
  • Strong problem-solving and analytical skills required
  • Ability to work independently and within a collaborative team setting

HOURS OF WORK

  • 37.5 hours per week, flexible schedule depending on the needs of YOU
  • Extended hours and weekend work may be required from time to time

Starting Wage:

Pay: $48,769.50-$62,244.00 per year
