The “Facilities & Tenant Services Coordinator”, reporting directly to the “Facilities Team Leader”, holds the primary role in supporting the daily operations of our Facilities team. This role involves managing tenant relations, coordinating maintenance activities, and ensuring efficient administrative operations. The position integrates traditional property administration responsibilities with a tenant-centered, supportive approach focused on housing stability, life skills development and positive tenant engagement.
This role acts as a liaison between tenants, Housing services, property management, facilities staff, finance and community partners to ensure effective operations and support positive housing outcomes.
The ideal candidate will be detail-oriented, proactive, and possess excellent communication and customer service skills.
Responsibilities:
- Serve as the primary point of contact for tenants, including youth residing under Participation Agreements.
- Build positive relationships that support housing stability and successful tenancies.
- Educate tenants regarding rent payments, maintenance requests, building expectations, appliance use, and tenancy responsibilities.
- Facilitate tenant meetings, orientations, move-ins, move-outs, and conflict resolution efforts.
- Collaborate with Housing Services, support staff, and community partners to address tenancy concerns and promote successful housing outcomes.
- Prepare, distribute, and maintain leases, Agreements, and tenancy documentation.
- Maintain rent rolls, tenant accounts, subsidies, arrears tracking, payment arrangements, and related records.
- Coordinate rent collection processes, financial reporting, and account reconciliations.
- Support the administration of commercial and government lease agreements, including renewals, reporting requirements, and compliance obligations.
- Coordinate maintenance requests, repairs, inspections, and contractor activities.
- Act as liaison between tenants, maintenance staff, contractors, and Facilities personnel.
- Conduct move-in and move-out inspections, document unit conditions, and coordinate turnover requirements.
- Monitor completion of repairs and ensure timely follow-up with tenants.
- Maintain complete, accurate, confidential, and audit-ready tenant and property files.
- Track inspections, lease renewals, subsidy renewals, and Participation Agreement requirements.
- Prepare reports related to occupancy, vacancies, arrears, funding requirements, and operational performance.
- Support audits, funding reviews, privacy requirements, and regulatory compliance activities
- Provide general administrative support to the Facilities team.
- Prepare correspondence, meeting notes, notices, tenant communications, and operational updates.
- Participate in policy development, process improvement initiatives, and special projects that enhance tenant experience and operational effectiveness.
Qualifications:
- Post-secondary education in Business Administration, Project Management, or a related field.
- Minimum of 2 years of experience in property management, supportive housing administration or a related field.
- Experience with lease administration and tenant relations is highly desirable.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Exceptional customer service skills.
- Strong collaboration skills and a desire to work in a team environment.
- Ability to work independently and as part of a team.
- Knowledge of property management regulations and best practices.
- Strong problem-solving skills and attention to detail.
- Ability to handle confidential information with discretion.
- Proficiency in Microsoft Office Suite and SharePoint would be an asset
HOURS OF WORK:
- 35 hours per week, flexible schedule depending on the needs of YOU
- Extended hours and weekend work may be required from time to time
- Participate in a rotating on-call schedule
