Reporting to the Director of Operations, the Facilities Manager is responsible for the development, maintenance, and smooth operation of all of YOU’s facilities. The Facilities Manager oversees tenant management, building scheduling and maintenance, custodial, safety, security, construction, preventative maintenance and grounds maintenance. The Manager liaises with other management team members to implement appropriate facility management activities in those programs.
This position plans and implements capital renewal and replacement projects for all facilities, and develops and implements operating policies and procedures. This position works closely with community partners, funders, donors, and construction teams to gather input, create a plan and implement a project plan as part of their Capital Management responsibilities. This position will be responsible for approving expenditures within approved budgets and overseeing contracted providers and ensuring compliance with YOU policy.
Specific responsibilities include, but are not limited to the following:
- Ensure all equipment dedicated to the physical security of tenants, participants and employees is functioning properly (closed-circuit televisions, alarms, sensor tag systems, locks, etc)
- Manages third-party service providers, including procurement, contract oversight, performance monitoring, and ensuring work is completed to organizational standards.
- Leads the planning and execution of preventative maintenance programs to ensure building systems, equipment, and life-safety infrastructure operate reliably and efficiently
- Supports tenant relations by ensuring maintenance needs are met promptly, monitoring overall tenant satisfaction, and working with the Property Administrator to resolve issues and maintain a positive living environment.
- Maintain and repair facilities and equipment -- managing contractor and vendor relationships and service contracts to ensure facility management needs are being met, coordinating and monitoring activities of contract suppliers, and checking work completed by contractors, vendors and internal maintenance team
- Respond to facility and equipment alarms and system failures
- Coordinate contracts – landscaping, snow removal, building repairs, etc
- Oversee competitive process for selection of architect, contractor and other professionals as required and preparing recommendation for Senior Leadership
- Liaise with construction team throughout project to finalize design and provide feedback to construction teams as required during build phase
- Consult with advisors, partners and members of public as needed to gather input and respond to enquiries and concerns about the project
- Monitor the construction project throughout development phase regarding timelines, budget and other key issues
- Maintain audit trail on the construction project
- Report to funders, Senior Leadership and other stakeholders as needed regarding site plans
- Oversee project budgets
- Compile and deliver reports to senior leaders and external stakeholders on the status of the project
- Work with construction professionals throughout the construction phase to review change orders, consider for approval and report to senior leadership as needed reports
- Liaise with administration and finance staff as needed regarding data and file management issues
- Participate in health and safety training including WHMIS and applies this knowledge in the workplace
- Report any violations of the Health and Safety Act or the regulations, or the existence of any hazard
- Ensure all workplace incidents are reported in a timely manner in accordance with legislation, and YOU policies and procedures for workplace injuries and incidents
Qualifications:
- The position normally requires completion of post secondary education at a college or university level. In addition, a minimum of 5 years of experience working in a similar role is required.
- Supervisory experience would be considered an asset.
- The individual must possess excellent relationship building capacities, possess strong communication skills and have facility and project management experience.
- A driver’s license is required, as well as working knowledge of electrical, mechanical and HVAC systems and loss prevention.
- Computer knowledge in word processing, spreadsheets, e-mail and Internet is essential.
- Ability to oversee a construction project demonstrated through previous experience or formal project management experience is essential.
HOURS OF WORK:
- 40 hours per week, flexible schedule depending on the needs of YOU
- Extended hours and weekend work may be required from time to time
