Reporting to the Employment Team Leader, the Case Management Assistant will work in collaboration with the Employment team to provide administrative and clerical support, and act as a first point of contact for youth, community partners, and businesses looking to engage with YOU services. This role will be responsible for triaging youth into programming, being a resource on community-based programs and services and will be responsible for administrative duties such as weekly and monthly statistics, maintaining accurate participant files, and liaising with key community partners. Specific responsibilities include but are not limited to the following:
- Serving as the primary data entry support person to the Employment Team
- Entering participant and employer information and contract forms into a case management system
- Staying current on changes to government databases, forms, and processes
- Recording case notes into internal client tracking software where applicable
- Acting as the main liaison between Ontario Works and employment counselors to provide information and ask questions about shared clients.
- Compiling monthly invoices for Ontario Works, providing budget and statistical updates to management
- Cross-referencing database and information management systems according to established procedures to assist with case management and invoicing.
- Following up with referrals and ensuring they attend initial meetings with employment counselors.
- Sending reminders to participants for scheduled appointments
- Performing other clerical functions including word processing, filing, and sorting
- Requesting, conveying, directing, and recording client and public information on the telephone, via email, and in person as directed
- Act as a backup for drop-in intakes.
- Reviewing files for data integrity
- Collection of documentation and assisting with the assessment of Canada Ontario Job Grant applications
- Collection of documentation for participant engagement in Social Enterprise training programs
- Locating files and/or background information for staff
- Creating a welcoming environment for participants visiting YOU and responding to email and phone inquiries
- Tracking team statistics
Qualifications:
- Post-secondary degree/diploma or a combination of relevant work experience and education
- 2 years of customer service and/or administrative experience.
- Highly organized and flexible; able to manage multiple tasks, meet targets and strict deadlines
- Proficiency in the use of Microsoft Office 365 as well as other online software programs are required vs. Excellent computer skills including intermediate level knowledge of Microsoft Word and Excel
- Working knowledge of ES Cases as an asset
- Ability to build relationships, persuade, manage conflict, and work with diverse clients.
- Ability to perform data entry tasks and file management with a high degree of accuracy.
- Strong case documentation, statistical reporting, file management, and organizational skills
- First Aid /CPR certification is required, Crisis Intervention and Prevention Training (PMAB or CPI) is an asset
- Clear Police Vulnerable Sector Check for youth population
Hours -
- Average of 35 hours per week, flexible scheduling depending on service needs including evening/weekend
Position duration: Maternity Leave, ending October 15, 2027
