Reporting to the Senior Community and Justice Support Coordinator, the Community and Reception worker serves as the first point of contact for youth, community partners, and visitors accessing the Justice Centre. This role is responsible for creating a welcoming and supportive environment, triaging youth into appropriate programming, and providing essential administrative and clerical support. The worker facilitates wayfinding within the Centre and assists with specific Justice Centre requirements.. Qualified candidates possess exceptional communication and organizational skills, work well in a fast paced and dynamic environment, and hold values that support our corporate vision of being “A community where youth are embraced and will thrive”.
Specific responsibilities include but not limited to the following:
- Reception & Engagement: Serve as the primary point of contact, engaging with participants who may be resistant or reluctant. Oversee the sign-in/sign-out process and manage reception spaces to ensure they are welcoming and safe.
- Navigation & Wayfinding: Provide clear directions and information about available services within the Centre, Youth Opportunities Unlimited, and in the broader community.
- Justice Centre Support: Create a welcoming environment for the Justice Centre reception desk when Court is sitting and communicate with relevant community partners to ensure smooth operations of the Centre. Remind participants of court participation requirements. Support participants in completing required assignments as needed.
- Triage & Referrals: Assess participant needs upon arrival to direct them to the appropriate level of support. Follow up on referrals to ensure participants are accessing necessary supports.
- Administrative Support: Perform clerical functions such as word processing, filing, sorting, and managing phone and email inquiries. Maintain accurate files and records in compliance with agency confidentiality policy. Compile team statistics and maintain accurate records.
- Data Management: Serve as the primary data entry support, communicating youth arrivals to appropriate team members and recording case notes in the agency’s electronic records system.
- Documentation and Information Sharing - Document participant interactions and relevant information in a timely and accurate manner. Communicate updates and case-related information with the Employment Services team as required.
Qualifications:
- Post-secondary degree/diploma or a combination of relevant work experience and education
- 1 year of customer service and/or administrative experience.
- Organized and flexible, able to support multiple tasks, and meet deadlines
- Proficiency in the use of Microsoft Office 365 as well as other online software programs are required as well as excellent computer skills, including intermediate level knowledge of Microsoft Word and Excel
- Ability to build relationships, persuade, manage conflict and work with diverse clients
- Ability to perform data entry tasks and file management accurately
- Clear Police Vulnerable Sector Check for youth population
Hours of Work
- Average of 35 hours per week, flexible scheduling depending on service needs including evening/weekend
